Questions to Ask When Choosing a Reception Site

Finding the perfect reception location is one of the biggest steps in the wedding planning process.

When making the decision, take into consideration cost, location, size and atmosphere. For church weddings, the fellowship hall offers a convenient, low-cost option. Those who opt for a more formal affair may choose a hotel ballroom, country club, restaurant or museum.

Some locations offer an outdoor courtyard or garden that might sound inviting, if the weather is on your side. Renting a tent would allow your guests to be outside without the worry of bad weather.

Of course, you’ll want to think about the theme and style of your wedding before choosing a location. In addition, deciding whether to use an on-site or off-site caterer will help determine where you want to have the reception.

Give thought to what kind of food you will be serving (sit-down dinner or buffet?), your table decorations (simple candles or large floral arrangements?) and how many people you need to accommodate (will you be needing large round tables or smaller, more intimate seating?).

Take the following list of questions with you as you visit various sites:

  • Is there a certain caterer I have to use, or can I bring in my own?
  • Are tables provided? If so, what size and how many? Are chairs provided? What about chair covers?
  • Are table linens provided, or will I have to rent those?
  • Is there space for a band or DJ?
  • Is there a deposit? If so, how much is due now, and when is the balance due?
  • How many guests can you accommodate — seated and standing?
  • Is there an outdoor party area?
